About These Policies & Where to Find Them
These Continuing Education Program Policies describe how Learninglynks LLC (“LearningLynks”) operates its continuing education (CE) programs and what participants can expect before, during, and after a course. LearningLynks is solely responsible for all aspects of its programs.
Some matters relevant to participants are also addressed in three related documents on our website — our Privacy Policy, our Terms of Service, and our Disclaimer. The summary below shows where each topic is addressed so participants can quickly find the information they need.
- Our continuing education program policies — including complaints, refunds and cancellations, confidentiality, accessibility, attendance, records, program recordings, content currency, and content standards — are published on this page.
- How LearningLynks collects, uses, shares, protects, and retains personal information across our website is described in our Privacy Policy. The Confidentiality & Privacy section on this page (Section 3) addresses confidentiality specifically within the context of our CE programs.
- General rules for using the LearningLynks website and account, intellectual property, and limitations of liability are described in our Terms of Service. Refunds and cancellations for CE programs are governed by the Refund & Cancellation Policy on this page (Section 2); our Terms of Service defers to that policy.
- Testimonials, reviews, and user-submitted content — including course discussions, comments, and Q&A — are addressed in our Disclaimer.
- Website accessibility is also addressed in our separate Accessibility Statement.
Topics that are not addressed in our Privacy Policy, Terms of Service, or Disclaimer — such as attendance and course completion, program recordings, the currency of home study materials, the use of client information in programs, and our response to confidentiality breaches — are addressed in full in the sections below.
Where any policy on this page refers to a record-retention period, the Records Retention policy (Section 8) governs.
1. Complaint & Grievance Policy
LearningLynks is committed to providing high-quality continuing education programs. We take all participant concerns seriously and are dedicated to resolving complaints in a fair, timely, and transparent manner.
1.1 How to Submit a Complaint
Participants who have a concern or complaint regarding any LearningLynks CE program, presenter, or administrative process may submit their complaint using any of the following methods:

To facilitate prompt resolution, complainants are encouraged to include the following information when submitting a complaint:
- Full name and contact information
- Course title and date of participation
- A clear description of the concern or complaint
- Any relevant supporting documentation
1.2 Review & Resolution Process
LearningLynks follows the process below to review and resolve all complaints:
- Step 1 — Acknowledgment: LearningLynks will acknowledge receipt of the complaint within 5 business days.
- Step 2 — Review: The Program Content Administrator will review the complaint and gather any additional information needed from the participant, the course presenter, or internal records.
- Step 3 — Resolution: LearningLynks will provide a written response with findings and, where appropriate, a proposed resolution within 30 calendar days of receipt of the complaint.
- Step 4 — Appeal: If the complainant is not satisfied with the resolution, they may request a secondary review by submitting a written appeal within 15 calendar days of receiving the initial response.
1.3 NBCC Reporting
Complaints that directly or indirectly relate to NBCC continuing education requirements, including but not limited to course content, presenter qualifications, credit hours, or certificate issuance, will be reported to NBCC within 60 calendar days of receipt, along with all related written communications and materials.
1.4 Records
All complaint records, communications, and resolutions are maintained in accordance with our Records Retention policy (Section 8).
2. Refund & Cancellation Policy
LearningLynks strives to provide value in every course. The following policy governs refund and cancellation requests for CE programs offered through the LearningLynks platform. Program fees are disclosed prior to registration on each course page.
2.1 On-Demand / Home Study Programs
- Full Refund: Participants may request a full refund within 7 calendar days of purchase, provided they have not completed more than 25% of the course content.
- Partial Refund: No partial refunds are issued for on-demand courses once 25% or more of the course has been completed.
- Technical Issues: If a participant is unable to access or complete a course due to a verified technical issue on LearningLynks’ platform, a full refund or course credit will be offered regardless of completion percentage.
2.2 Live / Virtual Programs
- Cancellation 7+ days before the event: Full refund.
- Cancellation 3–6 days before the event: 50% refund or full credit toward a future program.
- Cancellation fewer than 3 days before the event: No refund; course credit may be issued at LearningLynks’ discretion.
- No-show: No refund or credit issued.
2.3 LearningLynks-Initiated Cancellations
If LearningLynks cancels or significantly modifies a program, all registered participants will receive a full refund or the option to transfer their registration to a future offering.
2.4 How to Request a Refund
Refund requests must be submitted to billing@learninglynks.com with the participant’s name, course title, date of purchase, and reason for the request. Approved refunds will be processed within 10 business days to the original payment method.
2.5 Certificates of Completion
Certificates of completion are issued only after the participant has fully completed the course and passed the required learning assessment. Refunds are not available after a certificate has been issued.
3. Confidentiality & Privacy Policy
LearningLynks is committed to protecting the privacy and confidentiality of all participants. This section describes how we handle personal information in connection with our CE programs. Site-wide data practices are described in our Privacy Policy, and our response to a confidentiality breach is described in Section 12.
3.1 Information We Collect
LearningLynks may collect the following information from participants:
- Name, email address, mailing address, and phone number
- Professional credentials and license numbers (where required for CE credit verification)
- Course enrollment, completion, and assessment data
- Payment information (processed securely through a third-party payment processor; LearningLynks does not store credit card numbers)
3.2 How We Use Your Information
Participant information is used solely for the following purposes:
- Processing course registration and payment
- Issuing certificates of completion
- Communicating with participants about their enrolled courses
- Maintaining required records for NBCC compliance and audit purposes
- Improving our programs based on aggregate (non-identifying) evaluation data
3.3 Information Sharing
LearningLynks does not sell, rent, or share participant personal information with third parties for marketing purposes. Participant data may be shared only in the following limited circumstances:
- With NBCC, as required for compliance verification and audit purposes
- With payment processors to complete transactions
- As required by law or valid legal process
3.4 Data Security
LearningLynks employs industry-standard security practices to protect participant data, including:
- Secure HTTPS encryption on all web pages
- Encrypted payment processing through PCI-compliant providers
- Restricted internal access to participant records
- Secure backup storage of all required program records
3.5 Data Retention
Participant records related to CE programs are retained in accordance with our Records Retention policy (Section 8).
3.6 Your Rights
Participants may request access to, correction of, or deletion of their personal information (subject to our legal retention obligations) by contacting privacy@learninglynks.com.
4. ADA & Accessibility Accommodations
LearningLynks is committed to ensuring that all continuing education programs are accessible to individuals with disabilities, consistent with the requirements of the Americans with Disabilities Act (ADA) and applicable state and federal laws.
4.1 Our Commitment
LearningLynks provides reasonable accommodations to participants with legally recognized disabilities, including physical, visual, auditory, and cognitive disabilities. No participant will be denied access to a LearningLynks CE program on the basis of disability.
4.2 Available Accommodations
Depending on the format of the program, accommodations may include:
- Closed captions or transcripts for video and audio content
- Extended time to complete assessments
- Screen reader-compatible course materials
- Alternative formats for written materials upon request
- Technical support assistance for participants experiencing access barriers
4.3 How to Request an Accommodation

Please include your name, the course you are enrolled in, and a description of the accommodation needed. LearningLynks will respond within 5 business days to discuss available accommodations.
4.4 Platform Accessibility
LearningLynks is committed to ongoing improvement of the accessibility of our platform. We work to ensure our website and course materials meet or exceed WCAG 2.1 Level AA accessibility guidelines. If you encounter an accessibility barrier on our platform, please notify us at accessibility@learninglynks.com so we can address it promptly.
5. Non-Discrimination Statement
LearningLynks is committed to creating an inclusive and equitable learning environment. We do not discriminate against any individual or group with respect to any service, program, activity, or employment opportunity.
5.1 Policy Statement
LearningLynks does not discriminate on the basis of:
- Gender or gender identity
- Race or ethnicity
- Color
- National origin or ancestry
- Religion or creed
- Sexual orientation
- Age
- Disability
- Veteran or military status
- Organizational membership
- Any other basis prohibited by applicable federal, state, or local law
This policy applies to all aspects of participant enrollment, course participation, certificate issuance, and access to LearningLynks programs and services.
5.2 Reporting a Discrimination Concern
Any participant who believes they have experienced discrimination in connection with a LearningLynks program should submit a written complaint to complaints@learninglynks.com. All discrimination concerns will be reviewed under our Complaint & Grievance Policy (Section 1 of this document).
6. Content Neutrality: No Required Belief Adherence
LearningLynks is committed to offering continuing education that is intellectually open, evidence-based, and professionally relevant. LearningLynks upholds the following content standards for all programs offered for NBCC continuing education credit.
6.1 No Required Religious Belief
LearningLynks does not require program participants to accept, adopt, or adhere to any religion, religious principles, or creed as a condition of enrollment, participation, or course completion. Course content may explore religious, spiritual, or faith-based themes as they relate to professional counseling practice (e.g., working with religiously diverse clients), but no program will present any particular religious belief as required or superior.
6.2 No Required Political Belief
LearningLynks does not require program participants to accept, adopt, or adhere to any political principles or ideologies. Course content is presented in an objective, evidence-based manner. Where topics intersect with policy or advocacy, multiple perspectives will be represented fairly.
6.3 Content Standards
LearningLynks CE program content will not:
- State or imply that individuals who do not accept a particular political or religious belief are dysfunctional, inappropriate, or otherwise deficient
- Present or endorse sexual orientation change efforts as a therapeutic method
- Promote content that is primarily designed for the general public or non-graduate-level professionals
6.4 Questions or Concerns
If a participant believes that course content has violated these standards, they are encouraged to submit feedback through our Complaint & Grievance process at complaints@learninglynks.com.
7. Attendance & Course Completion
LearningLynks verifies attendance and completion so that certificates of completion accurately reflect the work participants have done. The requirements below are disclosed prior to registration.
7.1 On-Demand / Home Study Programs
Completion of on-demand and home study programs is tracked automatically through the LearningLynks platform. To receive credit, participants must access and complete 100% of the required course content and pass the associated learning assessment.
7.2 Live / Virtual Programs
Attendance at live and virtual programs is verified through participant login records and periodic engagement checks conducted during the session, such as attendance prompts or check-in questions. Participants are responsible for following all attendance-verification instructions provided before and during the program.
7.3 Partial Attendance
LearningLynks does not award partial credit. Participants must complete the entire program and meet all attendance and assessment requirements to receive a certificate of completion.
7.4 Conflicting or Incomplete Attendance Records
If LearningLynks receives conflicting information about a participant’s attendance, or if a participant does not follow attendance-verification instructions, LearningLynks will review available platform records and may contact the participant for additional information. LearningLynks’ verified records will determine whether credit is awarded.
8. Records Retention
LearningLynks maintains complete and accurate records relating to its continuing education programs. This section governs the retention of all records referenced in these policies.
8.1 Records Maintained
LearningLynks maintains the following records:
- Enrollment and registration records
- Attendance and course-completion records
- Learning assessment results
- Participant evaluations
- Certificates of completion issued
- Complaint records and related communications
8.2 Retention Period
All records identified above are retained for a minimum of five (5) years from the date of program completion or, for complaint records, from the date the complaint is resolved.
8.3 Storage & Access
Records are stored securely in electronic form with restricted internal access. Participants may request a copy of their own completion records, including reissuance of a certificate, by contacting info@learninglynks.com.
9. Recording of Programs & Participant Consent
From time to time, LearningLynks may record live or virtual programs for later use as on-demand or home study courses.
9.1 Notice
Participants will be informed before a program is recorded.
9.2 Participant Privacy in Recordings
When a recorded program is made available as a home study course, LearningLynks will either (a) ensure that no participant is identifiable in the recording by name, image, or voice, or (b) obtain written consent from any participant who is identifiable before the recording is used. Participants may choose to keep their camera and microphone turned off during recorded sessions.
9.3 Questions or Concerns
Participants with questions about recording or the use of their image or voice may contact LearningLynks at privacy@learninglynks.com.
10. Currency of Home Study (Enduring) Materials
LearningLynks is committed to ensuring that its on-demand and home study courses remain accurate, relevant, and current.
10.1 Periodic Review
Each on-demand and home study course is reviewed for accuracy and currency at least once per year, and sooner when significant developments in research, law, ethical standards, or professional practice affect the course content.
10.2 Updates and Retirement
Following review, LearningLynks will update course content as needed, or retire courses that can no longer be kept current.
10.3 Course Dates
Each on-demand and home study course displays its original release date and its most recent review or expiration date.
11. Use of Client Information in CE Programs
LearningLynks is committed to protecting the confidentiality of clients and patients who may be discussed in connection with its continuing education programs.
11.1 No Disclosure Without Consent
Presenters and participants must not disclose identifiable client or patient information during any LearningLynks program unless proper informed consent has been obtained for that use.
11.2 De-Identified and Composite Examples
Case examples used in programs must be de-identified or presented as composites of real-life situations. Composite case examples are encouraged as a means of providing instruction and facilitating role plays or discussion while protecting client confidentiality.
11.3 Participant Responsibility
Participants are asked not to share identifiable client information in course discussions, role plays, or written submissions.
12. Confidentiality Breach Response
In the event of a breach affecting the security of participant personal information, LearningLynks will respond promptly to protect affected participants. This section supplements the data-security practices described in Section 3.
12.1 Investigation and Containment
Upon becoming aware of a suspected breach, LearningLynks will promptly investigate, take steps to contain the breach, and assess the nature and scope of the information involved.
12.2 Notification of Affected Participants
LearningLynks will notify affected participants without undue delay after confirming a breach, and in any case no later than 60 calendar days after LearningLynks confirms that a breach has occurred. The notice will describe, to the extent known, what occurred, the categories of information involved, and the steps LearningLynks has taken and recommends participants take.
12.3 Notification of Authorities
LearningLynks will notify regulatory authorities where required by applicable law.
12.4 Recordkeeping
Records relating to a breach and LearningLynks’ response are retained in accordance with Section 8.

Learninglynks LLC has been approved by NBCC as an Approved Continuing Education Provider, ACEP No. ____. Programs that do not qualify for NBCC credit are clearly identified. Learninglynks LLC is solely responsible for all aspects of the programs.
